We are seeking a proactive and highly organized Office Assistant to ensure the smooth day-to-day business operations.
Duties and Responsibilities
- Welcoming visitors and handling inquiries in a professional and friendly manner.
- Managing phone calls, emails, and mail correspondence effectively.
- Organizing and maintaining both physical and digital filing systems.
- Monitoring office supplies inventory and placing orders as needed.
- Assisting with the preparation of documents, reports, and presentations.
- Scheduling and coordinating meetings, appointments, and travel arrangements for staff.
- Assisting with the organization of office events and activities.
- Supporting procurement processes and maintaining vendor records.
- Providing basic IT support to ensure smooth operation of office equipment and technology.
- Handling sensitive information and maintaining strict confidentiality in all tasks.
Key Skills and Requirements
- Diploma in Business Administration, Office Management, or a related field.
- Proven experience in administrative or office support roles.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to work proactively, adapt to changing priorities, and multitask effectively.
- A professional demeanor and ability to work with minimal supervision.
